Time Mastery: Your Path to Success

Are you tired of feeling like time is slipping through your fingers, leaving you overwhelmed and unproductive? If so, you're not alone. In today's fast-paced world, mastering your time has become the ultimate superpower for achieving success.

This simple approach is also known as the 4D’s of Time Management

In today's digital landscape, distractions are everywhere. According to Zippia, 77% of employees  spend 12% of their time at work scrolling on social media, that is nearly an entire hour wasted on something that isn’t exactly pushing the needle forward. 

While keeping your phone out of reach might help, it is not the only thing you will need to limit. In the same article, we found that 64% of all employees spend work hours on non-related websites…. Don’t lie - we are all guilty of this one - I’ve been meaning to research my next trip to Europe - ;) - Limiting non-work related website searches will undoubtedly provide you with some additional productivity minutes. 

Two other variables we can consider the ultimate time suckers are the “fluff” emails and nonessential meetings. I have found that many of my clients feel the need to promptly respond to every single email within minutes of them being delivered. If the email isn’t urgent, neither is your response.

“Studies consistently show that people spend around 23% of their work time on email, with some estimates suggesting that individuals check their email about 36 times per hour.”

The same goes for the meetings - if your collaboration and participation are not required, the information can be shared on the meeting notes, and you do not need to attend. 71% of senior Managers find that many meetings are unproductive and ineffective, partly due to a lack of employee engagement, especially in virtual meetings, where studies show that over 60% of employees multitask during these meetings. This seamlessly brings me to my next point. 

Although many may consider multitasking an effective and admirable skill, recent neuroscience research has shown that we could potentially lose 40% of productivity time by task switching, also known as Task Cost. 

Essentially, you should aim to eliminate or, at the very least, limit anything that isn’t moving you closer to your desired productivity goal. As tempting as some of these may be, they will ultimately hinder your path to success. 


Delegate

The art of delegation has two important contributions to your success;

  1. It alleviates your workload, and

  2. It allows you to develop your employees' strengths and weaknesses. And when done right, it is a key factor in your organization's growth and career advancement. According to a Gallup study, leaders who excel in delegation generate 33% higher in revenue.

As mentioned, delegating IS an ART, and a few things should be considered to do it successfully.  

  1. Daily recurring tasks: If you have a recurring task, it’s often worth delegating it to someone with the bandwidth to execute it well. 

  2. Work that aligns with employee Interest: If one of your team members shows enthusiasm in acquiring a new skill or enhancing one they already possess, consider assigning tasks that align with these interests, providing an opportunity to develop and refine their abilities.

  3. Work that focuses on the employee’s goals: A highly effective delegation strategy is to allocate tasks that align with a team member's career goals. This not only lightens your schedule but provides the opportunity for greater engagement from your team members.

Delegating tasks fosters deeper trust within our teams and frees up our schedule, allowing us to concentrate on the most critical assignments. This approach is essential for efficient task prioritization and building a collaborative work environment.


Defer

Not all things are urgent, although we may feel they are; oftentimes, deferring a task is necessary to prioritize your time better. 

For instance, it makes sense to defer activities like sorting through emails or engaging in lengthy team meetings while facing a critical project deadline. Such tasks, though at times necessary, don't demand immediate action and can be scheduled later. This prioritization ensures that your immediate focus and resources are dedicated to tasks with pressing deadlines, enhancing efficiency and productivity. 

By implementing task deferment, you effectively streamline your workflow, ensuring that your time is spent on activities that significantly impact your immediate goals. This approach boosts your productivity and improves stress management and work-life balance. Remember, deferring tasks is not about avoidance; it's about smartly organizing your to-do list to maximize efficiency and achieve optimal results.


Do

Continuing from where we left off, the "Do" category in the 4D’s of time management is all about immediate action and prioritization. These tasks are not just urgent; they are critical to your goals and often have significant consequences if not addressed promptly. For instance, preparing for a high-stakes meeting, addressing a client's urgent concern, or finalizing a time-sensitive report fall under this category. They demand your direct involvement due to your unique skills or decision-making authority.

Given the high-pressure nature of these tasks, it's essential to hone your stress management and efficiency skills. Techniques like time-blocking can be particularly effective here, where you allocate specific day slots to these high-priority tasks, ensuring dedicated focus without distractions. Additionally, cultivating a resilient mindset helps navigate these demanding tasks more smoothly. Remember, tackling these tasks head-on propels your projects forward and reinforces your proactive and reliable leader or team member role.
